Privacy Policy
Last updated: 2 September 2026
Woodpecker Networks ("we", "us") provides branded guest WiFi and network infrastructure for venues in the UK. This policy covers how we handle personal data as a company, including anyone who contacts us, registers interest in our service, or receives email from us. It is separate from, and complements, our Guest WiFi Privacy Notice, which covers data collected from guests connecting to WiFi at a participating venue.
Who we are
Woodpecker Networks is a UK-based provider of guest WiFi and network security infrastructure for pubs, venues and hospitality businesses. You can contact us at info@woodpeckernetworks.com.
What we collect
- Contact details you give us directly — for example, by emailing us to register interest or ask a question.
- For venues using our platform: business and billing contact information needed to operate the service.
- For venue guests: covered separately under our Guest WiFi Privacy Notice, which sets out what's collected at the point of connection and why.
We do not use tracking cookies or analytics scripts on this website beyond what's needed to serve the page itself.
How we send email, and how consent works
We take email consent and deliverability seriously — this is a core part of how our platform is engineered, not an afterthought:
- Explicit opt-in only. Nobody is added to a marketing list without actively agreeing to it. For guest marketing, this means ticking a clearly optional box at WiFi sign-in — connecting to the internet is never conditional on agreeing to marketing emails.
- One-click unsubscribe on every email. Every marketing email we send includes a visible unsubscribe link in the footer and a standards-compliant
List-Unsubscribe / List-Unsubscribe-Post header (RFC 8058), so recipients can opt out instantly through their own mail provider as well as through our link.
- Automatic bounce and complaint handling. We monitor delivery feedback for every email sent. If a recipient's address bounces or they mark a message as spam, that address is automatically suppressed from future sends — no manual step required.
- Per-venue sending limits. Each venue's guest marketing list is treated as its own isolated sending pool. If one venue's bounce or complaint rate rises above a safe threshold, that venue's sending is automatically and immediately paused, independently of every other venue on the platform.
- No raw content access. Venue staff compose messages using restricted, pre-approved templates only — there is no way to inject arbitrary HTML, scripts, or tracking pixels into an outgoing email through our system.
How long we keep data
Marketing contact information is kept only for as long as the relevant consent remains active, and is deleted promptly on unsubscribe or on request. Business/billing records are kept only as long as needed to operate the service or as required by law.
Your rights
Under UK GDPR, you can ask us what personal data we hold about you, ask us to correct it, or ask us to delete it. To do so, email info@woodpeckernetworks.com. If your query relates to a specific venue's guest WiFi, you can also contact that venue directly.
This is a plain-English summary provided in good faith, not a substitute for legal advice. If you have a specific legal question about how your data is handled, please contact us or a legal adviser.
